The Open Call Process

This open call invites catering suppliers to submit information to be considered for selection.

The open call will be live from the 26th of February 2025 and will close at 6pm on the 7th of March 2025.

The Festival Weekend runs from 11am - 5pm on the 17th and 18th May 2025.

Set up can start from 9am on Saturday 17th May.

All equipment and food must be removed by 7pm on Sunday the 18th.

All submissions must be made using the Google form linked below.

The google form will ask for information about your catering service and costings.

Terms & Conditions

The open call process

  • This call is open to catering services in Nottinghamshire.

  • A single submission is allowed during the open call process.

  • There is no fee for submitting to take part in the Lady Bay Arts Festival Weekend, however a commission will be agreed at the contracting stage.

  • Submissions will only be accepted using the google form on this page, submissions sent by email will not be included.

  • Any submissions made after the closing date will not be included in the selection process.

Participation in the Lady Bay Arts Festival Weekend 2025

  • Upon selection, the catering service will be responsible for establishing and maintaining contact with Lady Bay Arts, the key contact relating to the venue, and will need to ensure relevant information is provided at key points.

  • The catering service will be responsible for preparing, transporting and managing the catering service over the weekend.

  • The catering service will be responsible for removing waste from their space by 7pm on the 18th of May 2025.

  • The catering service will be required to provide food hygiene, risk assessments and public liability insurance details.

  • The catering service are required to be present over the weekend so that they are able to interact with the public.

  • If no power is available the catering service is responsible for providing an appropriate power source.

  • The Lady Bay Arts coordinator and steering group will not be responsible for any damages caused by the catering service.

Selection process

  • The aim of the Open Call is to ensure that a wide offer for visitors to the festival weekend.

  • All selections will be made based on the submission and we are unable to include links in the selection process.

  • The Lady Bay Arts Steering Group will be part of the selection process and their decisions are final.

  • Lady Bay Arts is unable to offer feedback on submissions.

  • All information will be kept securely in line with the General Data Protection Regulations and will not be disclosed to third parties.
